This policy explains how the America vs AI project (“America vs AI,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you visit americavsai.com, express interest in participating, communicate with the project team, or sign a participant release.
Information we collect
We collect information you choose to provide, including your name, email address, telephone number, city, availability, occupation or community role, perspectives relevant to the project, accessibility needs, and other details you submit through the participant-interest form.
If you participate in an interview, we may also collect interview logistics, photographs, audio, video, statements, and the public-identification choices you make. A participant release may include your legal name, signature, signing timestamp, audit-trail information, and a copy of the release presented to you.
For a minor participant, we collect the minor’s name, age or date of birth, age-appropriate assent when applicable, and the parent or legal guardian’s name, contact details, relationship, authority confirmation, signature, and consent choices. We do not use a minor’s contact information for marketing.
Our hosting and form providers may automatically receive limited technical information such as IP address, browser type, device information, referring page, and timestamps for security, troubleshooting, and signature-audit purposes.
How we use information
We use information to review and respond to participation requests; select and schedule interviews; plan the route and field production; communicate with participants and guardians; record, edit, publish, promote, distribute, and archive the project as authorized by the applicable release; deliver signed copies; prevent fraud or misuse; maintain security; comply with law; and establish or defend legal rights.
Submitting an interest form does not guarantee selection. We consider applicants for editorial fit and broad representation, not advertising eligibility or automated profiling.
How we share information
We may share information with the project’s hosts, producers, crew, editors, contractors, professional advisers, and service providers that support hosting, forms, electronic signatures, communications, storage, security, and distribution. These providers may process information only to provide their services to us or as otherwise permitted by their terms and applicable law.
Netlify provides website hosting and participant-interest submissions. Online release signing is not currently available on this website; contact the project team for signing arrangements. Published interviews and related media may be available to the public according to the permission granted in the participant release.
We do not sell personal information or share it for cross-context behavioral advertising. We may disclose information when required by law, to protect safety or rights, or as part of a merger, financing, reorganization, or transfer of the project, subject to appropriate protections.
Retention and security
We keep unsuccessful or inactive participant-interest records for up to 18 months after the trip unless a longer period is needed for follow-up, legal compliance, or a request you make. We retain interview records, media, releases, and audit trails for the life of the project and afterward as reasonably necessary to document permissions, distribute and archive the project, comply with law, and resolve disputes.
We use reasonable administrative, technical, and organizational safeguards. No online service or storage system can guarantee absolute security. Please do not submit confidential employer information, government identification numbers, financial account information, health records, or other information we did not request.
Your choices and requests
You may ask to access, correct, or delete personal information you submitted, or object to or restrict certain processing, by emailing andrew@askbobai.com. We may need to verify your identity. Some information may be retained when needed to comply with law, document a release or editorial record, protect rights, or complete a request you made.
You may stop an interview before it concludes or decline any question. Once material has been recorded, the participant release governs our rights to use it. Contact us promptly if you believe information is inaccurate or creates a safety concern.
Children and minors
The general participant-interest form is not intended for children under 13 to submit on their own. A parent or legal guardian should contact us and complete the guardian workflow. We do not knowingly collect personal information directly from a child under 13 through the general form. If you believe a child submitted information without appropriate permission, contact us so we can review and, where appropriate, delete it.
Cookies and external services
The site and its providers may use essential cookies or similar technologies needed for security, forms, accessibility, and basic operation. Links to external services, including AskBobAI, Short Solutions, and mapping or media providers, are governed by those services’ own privacy practices.
Changes to this policy
We may update this policy as the project or its services change. We will post the updated policy here and revise the effective date. Material changes affecting signed releases will be handled consistently with those agreements and applicable law.
